The Executive Administrative Assistant provides administrative support to the Gasification General Manager. This includes setting up and maintaining department files and information, both physically and on-line, preparing reports, setting up meetings and other events, arranging travel, managing calendars, preparing materials and presentations and other duties as assigned. This role also supports the Finance and HR Managers as needed.* Proactively support the General Manager and team by independently handling all assigned duties, taking direction from and balancing the needs of other staff members when needed
* Maintain and coordinate calendars, schedule appointments and meetings and arrange travel schedules and itineraries
* Utilize systems to pay invoices, manage deal flow and update customer contact information
* Process and reconcile Travel & Living expense accounts
* Schedule, plan, and organize all logistical details for in-house and off-site meetings
* Develop PowerPoint presentations, type letters, memos, charts, reports, proposals, contracts, agreements, or other types of correspondence and maintain records of all documents
* Provide general office administrative services including telephone coverage, mail and fax processing and distribution, file set up and maintenance, photocopying and office supplies
* Receive and refer telephone information, direct matters for action, communicate with customers, answer questions to inquiries and/or direct them to the proper resources
* Maintain up-to-date and accurate section/unit database records
* Bachlor degree
* At least 3 years of secretarial / administrative experience for snr. manager
* PC literacy – MS Word, Excel, Powerpoint, Outlook
* High level of accuracy and attention to detail
* Ability to work well under pressure
* Flexibility and willingness to work hours in addition to core schedule when required
* Self-starter with demonstrated high level of motivation, integrity and ability to work well independently
* Track record of exercising sound judgment within the context of the role
* Excellent organizational and follow-up skills, ability to manage multiple assignments
* Excellent time management skills with proven ability to prioritize daily, weekly and monthly items of precedence
* Ability to work independently, with minimal supervision
* Advanced PowerPoint skills, including the demonstrated ability to build clear, highly effective presentations based on hand-drawn graphics and verbally communicated concepts
